Answering calls 24/7/365

Your phone gets answered. Every single time.

PipeDuct Voice builds AI phone agents for HVAC and plumbing companies. They pick up on the first ring, answer questions in your own words, qualify the caller, and put the job straight on your calendar — day, night, weekend, or mid-install.

CallerYeah I shut it off. 412 Kessler Ave.
AgentPerfect. Marcus can be there between 10:30 and 11:30 tonight, and there's a $149 after-hours diagnostic. Want me to lock that in?

The problem

The phone is your storefront — and it's closed most of the time

For contractors and agents, a missed call isn't a missed message. It's a customer who calls the next name on the list and never thinks about you again.

You're working, not answering

Crews are in attics and crawlspaces. Agents are in showings. The phone rings anyway, and voicemail does not sell jobs.

Leads go cold in minutes

Someone with a burst pipe or a house to sell is calling three businesses at once. Whoever picks up first usually wins the job.

A receptionist is a big swing

Full-time front desk means salary, training, turnover, and coverage gaps — for a role that's slammed in July and quiet in February.

How it works

We build it, tune it, and run it for you

You are not buying software to configure. You're handing off your phones to a system we set up around how your business actually operates.

Discovery call

Fifteen minutes on your services, service area, pricing rules, hours, and what a good lead looks like versus a tire-kicker.

We build your agent

We script and train an agent in your business's voice — your services, your intake questions, your dispatch and escalation rules.

You approve it

Call the agent yourself and try to break it. We adjust wording, tone, and edge cases until it sounds like your best employee.

Go live & tune

We forward your existing number, connect your calendar and CRM, then keep refining from real call recordings every month.

Capabilities

What your agent handles on its own

Everything a sharp front-desk person does on a phone call — consistently, and without a lunch break.

Books real appointments

Reads live availability, offers windows that fit your routing rules, and writes the booking to your calendar while the caller is still on the line.

Qualifies before it books

Asks your intake questions — job type, address, urgency, ownership, budget range — and screens out calls outside your service area or scope.

Escalates emergencies

Recognizes a flooded basement or a gas smell, follows your emergency protocol, and warm-transfers or texts the on-call tech immediately.

Follows up by text

Sends confirmations, reminders, and your quote or listing link by SMS the moment the call ends, so the lead has something in hand.

Logs everything

Every call gets a recording, transcript, summary, and outcome tag pushed into your CRM — so nothing depends on someone's memory.

Answers in Spanish

Switches languages mid-call when the caller does, so you stop losing work to a language barrier on the first ten seconds of a call.

Screens the junk

Filters robocalls, spam, and sales pitches so the notifications that reach your phone are actual customers.

Handles overflow

Runs as your only line or as backup — picking up whenever your team is busy, after hours, or ten calls come in during a storm.

Reports monthly

A plain-language rundown of call volume, booking rate, top questions, and where callers dropped off — plus what we changed because of it.

Who we build for

Built specifically for HVAC and plumbing

We don't do generic voice bots for every industry. We build for two trades where a phone call is the sale — which means the intake questions, objections, and urgency rules are already baked in.

HVAC

Heating, cooling & emergency repair calls

A heat wave or a cold snap hits, twenty calls come in at once, and every tech is already on a roof or in an attic. Your agent takes all twenty.

  • No-heat / no-cool emergencies triaged with your after-hours rates quoted correctly
  • Service-area check by ZIP before it books a truck roll
  • Tune-up vs. repair vs. replacement sorted out on the phone
  • Maintenance-plan renewals and warranty questions answered from your terms
  • Dispatch handoff to the right tech, with the address and notes

Works alongside the field-service and scheduling tools you already run.

Plumbing

Leaks, clogs & after-hours emergencies

A burst pipe doesn't wait for business hours, and neither does the caller looking for the next name on the list. Your agent picks up first.

  • Emergency triage with your after-hours rates quoted correctly
  • Service-area check by ZIP before it books a truck roll
  • Estimate vs. service call sorted out on the phone
  • Common fixtures, water-heater, and drain questions answered from your terms
  • Dispatch handoff to the right tech, with the address and notes

Works alongside the field-service and scheduling tools you already run.

Priced to your call volume, not a menu

Every build is different — a two-truck plumbing shop and a thirty-agent brokerage need different agents. Tell us what you're working with and we'll quote it on the call. No obligation, no pressure.

Every engagement includes

  • A custom-built agent scripted around your services and pricing rules
  • Full setup: number porting or forwarding, calendar and CRM connections
  • Your own approval round before a single real customer hears it
  • Recordings, transcripts, and summaries for every call
  • Ongoing tuning from real calls, plus a monthly performance review
  • A direct line to us — not a ticket queue

Typical structure is a one-time build fee plus a flat monthly for running and tuning the agent. Month-to-month after the first term.

We'll reply within one business day. No spam, ever.

Thanks — we got it. We'll be in touch within one business day.
FAQ

The questions owners actually ask

Will my customers know it's not a person?

Some will, some won't. The agent sounds natural and handles interruptions without falling apart, and if a caller asks directly, it tells them the truth — we don't build agents that pretend to be human. In practice callers care far more that someone picked up and solved their problem at 9pm than about who was on the other end.

What happens on a call the agent can't handle?

You set the rules. It can warm-transfer to your cell or an on-call tech, take a detailed message and text it to you immediately, or book a callback slot. Anything it isn't confident about becomes a human handoff rather than a guess.

Do I have to change my phone number?

No. Most clients keep their number and forward it to the agent — you can switch that off any time and go straight back to how things were. If you'd rather port the number to us, we can do that too.

How long until it's live?

Usually about a week from the discovery call. Most of that is us scripting, testing, and getting your sign-off. The technical side is the fast part.

Will it work with my scheduling software and CRM?

In most cases yes — we integrate with the common field-service, calendar, and CRM platforms, and when there's no clean integration we hand bookings and lead data over in a way your team can act on immediately. Tell us your stack on the call and we'll confirm before you commit to anything.

Why not just use an answering service?

Answering services take messages. Your agent takes the job — it reads live availability, applies your pricing and service-area rules, and books the appointment on the spot. It's also on the first ring every time, with no hold queue and no cap on simultaneous calls.

What does it cost?

It depends on call volume, how many services and locations you run, and which integrations you need — so we quote it on the call rather than posting a number that would be wrong for most people. Expect a one-time build fee plus a flat monthly, and expect us to tell you if we don't think it's worth it for your volume.

What about call recording and privacy?

Calls are recorded and transcribed so we can keep improving the agent, and recording notice is built into the greeting where your state requires it. Your call data is yours; we don't sell it or share it. We'll walk through the specifics for your state on the call.

Find out what your missed calls are worth

Fifteen minutes, no slides. We'll look at your call volume, tell you plainly whether an AI phone agent makes sense for your shop, and quote it if it does.
